Privacy Policy

HouseLeague Pro (“HouseLeague Pro”, “we”, “us”) provides software that clubs use to run racquet-sports house leagues. This policy explains what information we collect, how we use it, and the choices you have. It applies to houseleaguepro.com and the app at app.houseleaguepro.com.

HouseLeague Pro is a business name of HOUSELEAGUEPRO, a sole proprietorship registered in Ontario, Canada (Business Identification Number 1001697033). You can reach us any time at hello@houseleaguepro.com.

Your club and us

You joined through a club, and that shapes who is responsible for your information. Your club decides what information to collect about its players and why — it builds the roster, adds your email address, and runs the league. We hold and process that information on the club's behalf so the software can do its job.

In privacy terms, your club is the controller of its league data and we are a processor. We use your information to run the service for your club and for nothing else — we do not sell it, and we do not use it for advertising.

Practically, this means requests about your own information are usually fastest through your club administrator, who can edit the roster directly. You can always contact us instead, and we will help and let your club know.

When you deal with us directly

Some information comes to us directly rather than through a club, and for it we act for ourselves: messages you send through the contact form or waitlist on our website, email you send us, and our service logs — for example, records of sign-in attempts and of the emails we send, which we keep for security, delivery, and troubleshooting. We use this information to respond to you and to run and protect the service, and for nothing else — never for advertising, and we keep it only as long as it is useful for those purposes.

Information we collect

Account & identity

Your email address, and — when your club provides them — your name and phone number. Your club's administrators add you to a league roster; we do not sell accounts or accept public sign-ups.

Sign-in information

Sign-in is passwordless. You can sign in with a one-time link or code sent to your email, or with Sign in with Google. When you use Google, we receive your email address and basic profile (such as your name) to identify your account — we never receive your Google password.

League activity

Records your club manages within the service, such as divisions, match schedules, results and scores, availability, and any strikes or holds.

Device & usage

Basic, privacy-respecting usage events that help us keep the service working, and — only if you opt in — a push-notification subscription so we can send match alerts to your device.

Cookies

We use strictly necessary cookies to keep you signed in. We do not use advertising or cross-site tracking cookies.

How we use your information

  • Operate your league — schedules, standings, results, availability, and reminders.
  • Authenticate you and keep your account secure.
  • Send transactional email and, if you have enabled them, push notifications (reminders, match day, results).
  • Maintain, troubleshoot, and improve the service.

How we share your information

  • Within your club. Your club's administrators can see the roster and league data for their club. Access is scoped so members only see their own club's data.
  • Service providers who process data on our behalf: Supabase (database and authentication), Vercel (hosting), Resend (email delivery), Google (when you choose Sign in with Google), and — only if you turn on push notifications — the browser push services run by Google, Apple, and Mozilla that deliver them to your device.
  • Legal. We may disclose information if required by law or to protect the service and its users.

We do not sell your personal information, and we do not share it for advertising.

Data retention

We keep your information while your club uses the service. You can ask your club administrator, or contact us, to correct or delete your data.

One honest nuance: completed match results are part of the league's shared record — other players' standings and histories are computed from them. So if you leave a league, your contact details can be deleted, but your past results may remain in the league's records, which your club manages.

Your choices & rights

You may request access to, correction of, or deletion of your personal information by contacting your club administrator or us at the address below. You can turn off push notifications at any time — per category in the app under Settings, or entirely in your device or browser settings.

We handle personal information in accordance with Canada's Personal Information Protection and Electronic Documents Act (PIPEDA). If you have a concern we haven't resolved, you may contact the Office of the Privacy Commissioner of Canada.

Security

Data is encrypted in transit, and access is enforced at the database level so you only see data for clubs you belong to. No system is perfectly secure, but we work to protect your information.

Children

The service is used through clubs, and some clubs run junior or youth leagues. If a club adds a minor to its roster, that club is responsible for obtaining a parent or guardian's consent. We do not knowingly collect information about children except as part of a club's roster, and a parent or guardian can contact the club or us at any time to review or remove it.

International processing

Your information may be processed in the United States and other countries where we and our service providers operate.

Changes to this policy

We may update this policy from time to time. When we do, we will revise the “Last updated” date above.
